General:

Q:   Who should attend this conference?
A:   The conference typically attracts delegates from all aspects of the oil industry, including: geologists, engineers, senior oil company      executives, landmen, service companies, sales/marketing, software/data vendors, oilfield safety equipment providers, oilfield housing providers, etc.
Q:   How many people typically attend this conference?
A:   The last time the conference was in Regina (2015) there were approximately 1,200 people registered for the conference. Based on activity levels within the oil patch in the Williston Basin and the general economic climate, for the 2017 conference in Regina we are currently planning for approximately 1,000 attendees.
Q:   Are there be any events planned for the evenings during the conference?
A:   Yes. There is an icebreaker social scheduled from 6:00p.m. to 10:00p.m. on May 2, 2017.
Q:   Are all the conference events held in the same building?
A:   Except for the Core Workshop, all of the events at the conference are held at Evraz Place in Regina.
Q:   There are two times for the Core Workshop (a.m. and p.m.) on May 2, 2017, do I need to attend both sessions?
A:   The same presentations will be given at the Core Workshop twice, once in the morning of May 2, 2017 and then again in the afternoon of May 2, 2017. So, delegates only need to register and attend one of the two sessions.
Q:   Where is the Core Workshop held?
A: The Core Workshop is held at the Subsurface Geological Laboratory at 201 Dewdney Avenue East in Regina. If you are planning to attend the Core Workshop, plan to either drive or get a taxi.
Q:   What is the cost for parking at the conference?
A:   Parking at both Evraz Place and the Subsurface Geological Laboratory is free.

Registration:

Q:   When can I register for the 2017 Williston Basin Petroleum Conference in Regina?
A:   Currently, registration is scheduled to open on December 1, 2016.
Q:   Who can register and attend the conference?
A:   Anyone with a fully paid registration can attend the conference.
Q:   Is identification required to gain admittance to the conference?
A:   Yes. A name tag that will be provided at the registration desk to all fully paid registrants and is required for admittance to the conference areas.
Q:   I want to come to the conference, but I only plan to visit the exhibit floor. Is there a reduced registration rate for people that are only visiting the exhibit floor?
A:   Yes. For the first time this year we are offering an Exhibit Hall Only Pass, which will allow access to the Exhibit Hall only. Holders of the Exhibit Hall Only Pass will not be permitted to attend any technical sessions that are held in areas away from the Exhibit Hall floor. This pass is designed to allow for exhibitor’s at the conference to do business more easily with current or potential clients.
Q:   Can I get a list of attendees for the conference?
A:   No. Attendee lists are not made available for this conference.
Q:   What is the cancellation policy for the 2017 Williston Basin Petroleum Conference in Regina?
A:   Cancellation/Refund Policy:
• Cancellations or amendments to registration must be submitted in writing via email or fax. Phone requests will not be accepted.
• Cancellation refunds requested on or before March 1, 2017 will be subject to a 15% cancellation fee.
• Cancellation refunds requested after March 1, 2017 and on or before April 1, 2017 will be subject to a 50% cancellation fee.
• Requests for refunds received after April 1, 2017 will not be considered unless they are based on well substantiated compassionate grounds.

Exhibitor:

Q:   When can I purchase an exhibit booth and/or equipment display space for the 2017 Williston Basin Petroleum Conference in Regina?
A:   Currently, all registration (including exhibitor and/or equipment display) is scheduled to open on December 1, 2016.
Q:   What is the size of an exhibitor booth?
A:   A single exhibitor booth is 10’x10’.
Q:   How many booths will be available for purchase at the conference?
A:   We are planning the layout of the exhibit floor based just over 300 standard 10’x10’ booths, plus space for several large equipment displays.
Q:   Can I purchase multiple exhibitor booths, and if so will all of the booths be together, or will they be divided up and in different areas of the exhibit floor?
A:   Multiple booths can be purchased, and yes, all of the booths will be together, unless otherwise requested. The booths are arranged in back-to-back rows of 10’x10’ spaces, and when a company purchases multiple booth spaces you will be asked for the configuration of your booth. For example, 4 booths spaces purchased may have a configuration of 10’x40’ or 20’x20’, three booths purchased will be configured as a 10’x30’ space, and two booths purchased will be configured as a 10’x20’ space. Q:   Is there any way to have an exhibitor display space larger than 20’x20’?
A:   Yes, we do have equipment display space inside the exhibit hall for some larger oilfield equipment up to 20’x30’. If this space still isn’t large enough we also have equipment display space outside the exhibit hall for oilfield equipment up to 30’x50’. All large equipment displays have to be approved by the conference organizers. Please contact us at info@wbpc.ca if you have any questions.
Q:   What is equipment display space, and why would I purchase it instead of an exhibitor booth?
A:   Equipment display space is available indoors at the Eventplex at Evraz Place. Equipment display space is designed for oilfield equipment that would not typically fit in a typical (10' x 10') exhibit booth space (i.e., would not sit well or would be likely to damage carpeting). Equipment display space will be sold on approval of the equipment and the dimensions of that equipment only. Make sure you know the dimensions (length, width and height) of the equipment that you plan to display. Please contact us if you are planning to display any type of large equipment and we will do our best to accommodate your needs.
Q:   Can I choose my location, or is it assigned? How do I know where my booth and/or equipment display space is located on the exhibit floor?
A:   Booth locations are assigned by the conference organizers on a first come, first serve basis; i.e., a booth purchased at 10a.m. on December 1, 2016 will be closer to the front of the exhibit floor, and thus in a potentially higher traffic area than a booth purchased at any time after 10a.m. on December 1, 2016. Also, platinum and gold sponsors who want a booth will be given higher profile locations within the exhibit floor based on the level of sponsorship.
Q:   Is there an exhibitor kit for the conference?
A:   Yes, an exhibitor kit will be made available prior to the conference to all companies that register and pay in full for an exhibit booth and/or equipment display space.
Q:   When can I setup my booth and/or equipment display?
A:   Exhibitor setup, which includes both booths and equipment display, must be setup between noon May 1, 2017 and noon May 2, 2017.
Q:   When can I take down my booth and/or equipment display?
A:   Exhibiter tear-down and move out is from 1:00 p.m. to 10:00 p.m. on May 4, 2017.
Q:   Is there any security on-site at the conference facility?
A:   Yes. Security will be posted and patrolling the facility 24 hours a day from just prior to noon May 1, 2017 (beginning of exhibitor setup) until just after the exhibit have been removed (i.e., exhibitor tear-down is by 10:00p.m. on May 4, 2017).

Sponsorship:

Q:   When can I purchase a sponsorship for the 2017 Williston Basin Petroleum Conference in Regina?
A:   Currently, all registration (including sponsorship) is scheduled to open on December1, 2016.
Q:   What levels of sponsorship are available?
A:   Four levels of sponsorship are available for the 2017 Williston Basin Petroleum Conference in Regina from Bronze at $1,000CAD, to Silver at $2,500CAD, to Gold at $5,000CAD to Platinum at $7,500CAD. Detailed information regarding the various levels of sponsorship and the benefits that come with each can be found on our website at http://wbpc.ca/sponsors/sponsor-info.
Q:   Why is my company required to submit a logo if we are sponsoring the conference?
A:   Your company logo is the primary way the conference recognizes your company’s sponsorship. It will be used in the abstract volume, on signage at the conference and on the website to recognize your company’s level of sponsorship.
Q:   Once my company makes a verbal commitment to sponsor the conference, will my company begin to get recognition right away?
A: Unfortunately, no. Recognition on the website will begin once the conference receives sponsorship payment and your company’s logo.
Q:   What format should I submit my company’s logo so that recognition of my sponsorship can commence?
A: The very best way to submit your logo is in an .eps format file (Encapsulated PostScript). EPS files are preferred since they maintain very high resolution regardless of the scale being used. This is especially important when the logo is used at very large scales. The conference will also accept .jpeg files if they have been saved at 300 dpi or greater.
Q:   Why am I not seeing my company’s logo on the website’s sponsor page or scrolling banner?
A: You have either not submitted a logo, it is not submitted in a suitable format, or if you have submitted your logo in a suitable format.  It may take up to 48 hours to upload your company logo onto the WBPC website.
Q:   I am a sponsor for the conference. What size and format should I submit my advertisement for inclusion in the abstract volume.
A:   As part of the benefits of supporting the conference many companies are entitled to have an advertisement in the conference abstract volume. If you are a Platinum, Gold or Silver sponsor you are entitled to an advertisement and the size specifications are as follows: Platinum(1/2 page):  4.75” x 7.5” in landscape format, Gold (1/4 page): 3.5” x 4.75” in portrait format and Silver (1/8 page): 2.125” x 3.5” in landscape format. You will need to send a pdf version of your sized advertisement by March 15 to ensure inclusion in the Abstract volume.
Q:   What is in the Platinum VIP Lounge and what is its purpose?
A:   The Platinum VIP Lounge has complimentary premium food and beverages with comfortable seating overlooking the exhibit hall. The Platinum VIP Lounge offers a relaxed and secluded place to entertain clients and have business to business discussions.
Q:   Can I bring a guest into the Platinum VIP Lounge.
A:   Yes, if you are a platinum sponsor and have a Platinum VIP Lounge pass you may have guests accompany you into the lounge.

Technical Program:

Q:   Why have I not yet had a response regarding an abstract that I submitted for a presentation at the conference?
A:   The Technical Program Committee will contact only those persons whose abstracts have been accepted.
Q:   Will the presentations be available for viewing/downloading?
A:   Most of the oral presentations will be made available at http://wbpc.ca/agenda after the conference.
Q:   Will my abstract be published?
A:   We will publish a program and abstract volume which will include all abstracts accepted for oral and poster presentations. Please ensure that the submitted abstract is publication-ready.
Q:   Where can I find previous presentation?
A:   Previous presentation is available at http://wbpc.ca/agenda/archived-talks.

Media:

Q:   Can personnel from the media attend the conference?
A:   Media can arrange to attend the conference by contacting media@wbpc.ca. Information for media, including how to become a media partner, is available on our website at http://wbpc.ca/information/media.
Q:   Are media personnel permitted to interview conference delegates during the conference?
A:   Media can arrange to interview certain conference delegates by contacting media@wbpc.ca.

Facility:

Q:   Is the facility in which the conference located wheelchair accessible?
A:   Yes, the conference facility is wheelchair accessible.
Q:   Is Wifi available at the facility?
A:   Free Wifi connectivity will be available within the exhibit hall.

Plan Your Trip (Accommodations, Transportation):

Q:   Would you recommend a hotel to stay at while I am in Regina for the conference?
A:   A list of many hotels in Regina can be found on our website at http://wbpc.ca/plan-your-trip/hotels.
Q:   How far are the hotels in Regina from the conference location?
A:   The majority of the hotels in Regina are within 8km (5 miles) of the Eventplex at Evraz Place. None of the hotels are within walking distance of the conference.
Q:   Do I need to rent a car to get to the conference?
A: You can if you choose to; however, taxi service is also widely available.
